frequently asked questions
WHY DO I NEED A WEDDING PLANNER?
A wedding planner turns wedding planning from a guessing game into a clear, well-organized process. After more than 200 Michigan weddings, the Paper Hat team knows how to anticipate what couples will encounter long before they encounter it, which means smarter decisions, fewer surprises, and a wedding day that feels meticulously planned and entirely effortless. Most couples find the time, stress, and money saved by working with us more than offsets the investment..
What makes Paper Hat different from other Michigan wedding planners?
Two things, really. First, we believe wedding planning should be a collaboration, not a hand-off. You stay informed and involved in the decisions that matter to you, with full transparency into where your investment goes. Second, we don’t price by percentage or by guest count. Our flat rates mean your investment stays the same whether you need three planning meetings or thirty. Planning begins the day you book, regardless of how far out you are, so you have steady support from the first decision to the final detail.
WHY DON’T YOU OFFER DAY OF COORDINATION?
A wedding day runs smoothly when it has been thought through carefully in advance. Every transition, every vendor handoff, every contingency. If we only started working a few weeks in advance, we wouldn’t know who handles what, where things go, or what your expectations are (and someone still has to build the timeline). By coming on board well before the wedding, we can confirm every detail with every vendor, build the timeline together with you, and arrive on your wedding day with the entire production already mapped, communicated, and confirmed.
why does a wedding planner include legal services?
Every wedding involves contracts; your venue, your caterer, your florist, your photographer, and more. We partner exclusively with Crafted Law, a bar-certified attorney, to review every contract that comes across your desk. They flag costly clauses, suggest negotiation opportunities, and surface requirements you didn’t know to ask about. Contract review consistently saves our couples thousands of dollars and protects them from unexpected changes down the road. It’s one of the most concrete ways we earn back the cost of our service.
WHAT IS THE DIFFERENCE BETWEEN PARTIAL PLANNING AND A FULL SERVICE?
Full Service Planning is for couples who want to make the meaningful decisions while we handle the rest, curating the vendor options, managing every detail, and delivering a wedding day that feels effortless. Partial Planning is for couples who want to be involved in every decision, not just the biggest ones. We bring the structure, expertise, and trusted Michigan vendor network; you bring your taste, your voice, and your hand in the planning. Full Service is delegation. Partial Planning is collaboration.
ONCE WE BOOK, HOW MUCH COMMUNICATION WILL WE HAVE?
Full Service and Partial Planning packages both include unlimited communication. You can message us every day, or only when something specific comes up, whatever fits how you prefer to work. As your wedding day approaches, we schedule regular check-ins to refine your timeline, confirm vendors, and finalize the design. You’ll never wonder where things stand.
MY VENUE HAS A COORDINATOR, DO I Still NEED A WEDDING Planner?
Yes. They do different jobs. A venue coordinator manages the venue: lighting, heat, parking, kitchen access, and the building itself. A wedding planner works for you. We start months before the wedding to build the timeline, manage every vendor, finalize the design, and execute the vision we’ve created with you. On the day, we’re responsible for the production of your wedding, every transition, every setup detail, every personal touch, not the building it happens in.
can you just handle set up & tear down?
Setup and teardown sound simple, but they involve dozens of moving parts: table counts, linen drop-offs, timing between the caterer and the florist, and a long list of vendor handoffs that all have to be confirmed in advance. To do them well, we need to be in conversation with you and your vendors well before the wedding day. Otherwise, we’re guessing, and your wedding day is the wrong place to guess.
DO YOU DO WEDDINGS OUTSIDE OF GRAND RAPIDS?
Yes. We plan weddings across Michigan, including Northern Michigan, Traverse City, Petoskey, Harbor Springs, Holland, South Haven, and Detroit. All travel within Michigan is included in our pricing. For weddings outside Michigan, we’ll agree on travel terms together at the time of booking.
